MatchBox Consulting Group is seeking a Document Controls Manager to join our client, one of the largest companies in the utilities industry.

The Document Controls Manager will be responsible for working with 4 PCM portfolios (Veg, Lines, Stations and Capital Projects) to map, improve and implement document control processes. This position is a 1 year contract opportunity with a HIGH possibility of extension. This position will operate on a hybrid model, working minimum two (2) days in the office and rest at home.


  • Review, update and implement the Program and Project Management Document Control/Records Management processes.
  • Review, recommend, and implement Document Control improvements to the PCM information Centre that would be suitable for PCM project and programs.
  • Set up and implement the digital document management system with the needed folder structures, attributions, and security protections to efficiently deploy and then manage documents for PCM Programs and Projects
  • Establish and implement document archive procedures to meet regulatory requirements.
  • Liaison with PCM Project/Program Managers to ensure our records support their program record management policies and regulatory requirements.
  • Train document control staff and program/project managers in the procedures, processes, controls, and workflows necessary to perform document management ensuring appropriate controls and consistently
  • Train other program/project team members, the new procedures, processes, controls, and workflows necessary to align with document control requirements and ensure that they understand their role in maintaining, transmitting, retaining, and governing documents reliably and consistently to efficiently support our program/project records.


  • Candidate should have 8+ years involved in process improvement/process mapping work.
  • 8+ years experience with SharePoint/Teams
  • Familiarity with Document Control Processes and Applications an asset
  • Intermediate user of Microsoft office and Adobe Suite of products
  • Experience writing procedures and processes.
  • Experience training stakeholders in new processes
