MatchBox Consulting Group is seeking a Stakeholder Engagement Coordinator to support a leading organization in Alberta’s electricity sector. This is a contract position for 2 years, and is ideal for an early-career professional who enjoys coordinating events, managing logistics, and supporting stakeholder engagement initiatives in a fast-paced environment.

Working closely with the Stakeholder Engagement team, you’ll coordinate meetings, workshops, webinars, and engagement sessions while supporting communications, maintaining stakeholder records, and ensuring events run smoothly from planning through execution.

Responsibilities

  • Coordinate and support stakeholder engagement activities, meetings, workshops, webinars, and events.

  • Manage calendars, meeting invitations, registrations, agendas, presentations, and meeting logistics.
  • Coordinate virtual, hybrid, and in-person engagement sessions, including room bookings, catering, and technology requirements.
  • Maintain stakeholder contact lists, attendance records, engagement reports, and tracking tools.
  • Prepare, proofread, format, and distribute stakeholder communications and meeting materials.
  • Take meeting notes, track action items, and assist with engagement reporting.
  • Monitor shared inboxes and respond to stakeholder inquiries.
  • Coordinate with internal teams, vendors, consultants, and service providers to support engagement activities.
  • Assist with website updates and digital engagement platforms.
  • Conduct basic research and provide administrative support for stakeholder engagement projects.
  • Support multiple advisors simultaneously while managing competing priorities and deadlines.

Qualifications – Must-Haves

  • Post-secondary education in Communications, Public Relations, Business, Political Science, or a related field.
  • 1–3 years of experience in stakeholder engagement, communications, administration, event coordination, customer service, or a similar coordination role.
  • Demonstrated experience coordinating meetings, workshops, events, webinars, or stakeholder sessions.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong interpersonal skills and a collaborative approach.
  • Proficiency with Microsoft Office, including Teams, Outlook, Word, Excel, PowerPoint, and SharePoint.
  • Reliable, proactive, and able to work independently with minimal supervision.

Nice-to-Haves

  • Experience using virtual meeting and webinar platforms.
  • Previous experience in utilities, energy, government, or other regulated industries.
  • Experience supporting stakeholder engagement or public consultation activities.
  • Comfortable coordinating multiple events while adapting to changing priorities.
