MatchBox Consulting Group is seeking an Administrative Clerk to work on a 6-month contract for our client, one of BC’s largest utility and clean energy companies. This is a hybrid role based in Burnaby, with an expectation to be onsite as required.
This role will support multiple engineering and design teams, providing day-to-day administrative coordination and ensuring efficient team operations. The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment.
Key Responsibilities:

Preparing expense reports and creating travel requests for the Hydrotechnical, Structural, and General Design teams using SAP

Backfilling and assisting the Admin Lead in organizing Safety and Environmental training and running milestone reports for the GSCE Department

Formatting memorandums, scheduling meetings, and coordinating meeting room setups for multiple teams

Following up on and tracking deadlines for time entries and mandatory training (e.g., Work Protection Practices (WPP) and other safety courses)

Coordinating onboarding and offboarding processes, including space planning for new hires and consultants

Providing guidance and support to team members on administrative processes, procedures, and practices

Managing document handling, including copying, scanning, binding, and printing materials for Asset & Engineering Records Services

Preparing monthly and bi-weekly time and labor reports in Excel (including pivot tables) using SAP reporting

Maintaining accurate filing systems and record keeping for travel documentation, field work forms, meeting agendas, and reports
Must-Have Qualifications:
- Must be able to work onsite as required in a hybrid Burnaby-based role
- A minimum three (3) years of office administration experience or equivalent
- Proficiency in MS Office (Excel, Word, Outlook, and PowerPoint)
- Strong attention to detail and comfort working with multiple stakeholders
- Ability to work independently while supporting multiple teams
- Strong organizational and multi-tasking abilities
