Matchbox Consulting Group is partnering with a Vancouver-based developer for a residential building manager for their one of their multi-family rental strata in Port Moody. 
 

Role: 

They are seeking a reliable, service-oriented (live out) Residential Building Manager to oversee the daily operations, maintenance, safety and resident experience for a 142-unit residential rental community in Port Moody.

This position plays a key role in ensuring building systems run reliably, service requests are resolved quickly, and the property remains clean, compliant, secure, and welcoming.  Working closely with the Leasing Manager, the Building Manager also supports leasing analytics and reporting to reduce days vacant and maintain occupancy targets. The Building Manager will report directly to the Property Manager and work full-time from the building.

 

Responsibilities:   

 

Administration & Tenancy Management

  • Administrative work involved in the operation of the property, according to procedures and instructions set by Property Manager.
  • Complete accurate, detailed move in/move out reports for all tenants.
  • Maintain secure resident files.
  • Verify, track, and ensure all tenants maintain valid and adequate renter’s insurance coverage, following up on expired or insufficient policies as required
  • Respond to and resolve tenant rent payment issues, including bounced payments or arrears.
  • Issue warning or breach letters when required and serve eviction notices in accordance with the Residential Tenancy Act.
  • Prepare detailed incident reports related to accidents, altercations and damage to the property.
  • Draft and post resident notices for maintenance, outages, and access entries within legal timelines.
  • Coordinate move-ins/outs, including elevator bookings, key/fob distribution, orientations, and parking/locker assignments.

  

Operations and Maintenance

  • Comply with the regulatory requirements of the Residential Tenancy Act.
  • Triage, assign, and close work orders; maintain accurate logs in the PMS (Rent Café).
  • Conduct routine inspections of life-safety, mechanical/electrical rooms, roofs, suites (as needed), and common areas; document and remediate deficiencies.
  • Supervise contractors performing preventative and corrective work; ensure quality, safety compliance, and scope adherence.
  • Obtain quotes for minor repairs and follow purchasing/approval procedures.
  • Maintain organized records of warranties, inspections, and compliance documentation.

 

Health and Safety

  • Support emergency preparedness and act as a first responder during incidents; coordinate with authorities and insurers. Keep occupational first aid certification up to date.
  • Uphold WorkSafeBC requirements, including hazard reporting, contractor orientations, Safety Data Sheet documentation, and lock-out/tag-out procedures.
  • Satisfy all fire and life-safety code requirements.
  • Respond to building or resident emergencies as required (including evenings/weekends).

 

Resident Experience

  • Serve as the on-site point of contact for resident inquiries and escalations; resolve issues promptly and professionally.
  • Promote community standards around noise, cleanliness, pets, smoking; document incidents as required.
  • Ensure overall presentation of the property reflects Woodbridge’s commitment to quality and care.

 

Leasing Support

  • Maintain accurate unit status information to support leasing readiness.
  • Provide basic leasing analytics (days vacant, turn timelines, blockers) to support occupancy targets.
  • Collaborate with Leasing Manager, Residential Custodian and Customer Care Manager to ensure suites are delivered lease-ready and meet presentation standards.

 

Qualifications:

  • 3-5+ years in residential building management, facilities or property operations
  • Working knowledge of HVAC, plumbing, electrical, fire/life safety, and preventative maintenance programs
  • Familiarity with BC Residential Tenancy Act requirements
  • Proficiency with property management and/or CMMS platforms; strong Excel skills (lookups, pivots, simple dashboards)
  • Vendor management experience, with basic budgeting and forecasting skills
  • Excellent communication, customer service, and conflict-resolution abilities; calm under pressure
  • Ability to lift up to 50 lbs. occasionally and access mechanical/roof areas as needed

 

Additional Requirements:

  • Strong time-management skills; able to work independently
  • Professional, trustworthy, and respectful of tenant privacy (criminal record check required)
  • Comfortable working in a pet-friendly environment
  • Ability to respond to evening/weekend emergencies
  • Experience with Yardi Breeze and Rent Café considered an asset
  • Valid driver’s license and reliable vehicle are an asset
