Construction Administrator

MatchBox Consulting Group is partnering with a leading Western Canadian developer and builder with over 30 years of experience, to hire a Construction Administrator for their Calgary office. This role is a key support position within a lean, high-performing construction team and offers strong internal growth opportunities. This is an opportunity to join a company and become essential to maintaining project efficiency and ensuring smooth operations across construction initiatives.

Key Responsibilities

• Provide administrative support to the Project Manager and Construction Coordinator on all construction projects.
• Assist in preparing scopes of work and reviewing them with the project team and management.
• Support the tender process, contracts, and commitments for construction projects.
• Assist with permit applications, insurance, and general project documentation.
• Perform project data entry, including purchase orders, invoices, and budget adjustments.
• Maintain construction data in Pluto Systems, including unit models, floor plans, and contractor/consultant information.
• Manage customer consolidated options (change orders) and colour selections, ensuring deadlines are met.
• Support RFIs, Shop Drawings, and SIs to ensure timely project execution.
• Attend project meetings and assist in preparing meeting minutes.

Qualifications & Skills

• Diploma or certificate in construction management, business administration, or a related field (asset).
• 1–3 years of construction or project administration experience.
• Familiarity with construction project lifecycles, including RFIs, Shop Drawings, SIs, and customer selections.
• Strong organizational skills and attention to detail.
• Effective verbal and written communication skills.
• Proficiency in Microsoft Office (Excel, Word, Outlook, Teams).
• Knowledge of construction software (Sage300, Sage Estimating, Bluebeam, PlanSwift) is an asset.
• Comfortable supporting both office and site teams in a fast-paced environment
