We are seeking a highly organized and proactive Executive Assistant to support the CEO and executive leadership team. In this pivotal role, you will manage a range of administrative tasks, coordinate complex schedules, and ensure day-to-day operations run smoothly. This is an exciting opportunity for a motivated individual who thrives in a dynamic, fast-paced environment and has a strong sense of discretion and professionalism.
Reporting Line:
This role reports directly to the CEO.

Key Responsibilities:

  • Document Preparation: Create and format executive-level reports, presentations, and proposals.
  • Written Communication: Draft, proofread, and manage professional correspondence on behalf of the CEO.
  • Correspondence Management: Prioritize and manage incoming communications, ensuring timely and accurate responses.
  • Meeting Coordination: Schedule meetings, prepare agendas, take detailed minutes, and track follow-up actions.
  • Calendar & Time Management: Organize the executive’s calendar, schedule appointments, and optimize time allocation.
  • Travel Management: Coordinate domestic and international travel, including flights, accommodations, and logistics.
  • Confidentiality: Manage highly sensitive information with discretion and professionalism.
  • Project Support: Assist with the tracking and progress of projects, ensuring deadlines and deliverables are met.
  • Administrative Support: Provide general administrative assistance, including data entry, filing, and expense tracking.

Qualifications & Skills:

  • Bachelor’s degree or higher.
  • Minimum 2 years of experience in an executive support role or similar capacity.
  • Exceptional written and verbal communication skills.
  • High attention to detail with a proactive and solutions-focused mindset.
  • Proven ability to multitask and manage priorities in a fast-paced environment.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Experience in aviation or finance industries is considered an asset.
  • Highly organized with strong time management and problem-solving skills.
  • Demonstrates initiative, professionalism, and sound judgment.
