Field Services Administrator
Location: Vernon, BC
Duration: 6-Month Contract (Potential for Extension)
Work Arrangement: Onsite
MatchBox Consulting Group is seeking a Field Services Administrator to support procurement activities and field operations for a leading infrastructure organization. This is an excellent opportunity for an organized and detail-oriented professional who enjoys supporting operational teams, coordinating administrative processes, and working in a fast-paced environment.
The successful candidate will provide administrative and procurement support while working closely with construction and field crews to ensure day-to-day operations run efficiently.
Responsibilities
- Coordinate and expedite field services work by managing work orders and scheduling activities.
- Arrange required civil services and support resources for field operations.
- Administer local work contracts, third-party billings, invoices, and work order coding.
- Maintain accurate financial, operational, and project-related records.
- Provide administrative support for installation and maintenance activities.
- Update drawings, track maintenance schedules, and manage operational documentation.
- Respond to customer, contractor, and internal stakeholder inquiries.
- Assemble tender packages and coordinate pre-job activities with internal teams and external utilities.
- Prepare and process contract requisitions, purchase orders, and related procurement documentation.
- Support end-to-end procurement activities, including SAP purchase requisitions, purchase order facilitation, service entry sheet tracking, invoice monitoring, and vendor coordination.
- Monitor material availability and coordinate with Materials Management to resolve discrepancies.
- Assist with dispatch coordination, crew availability, outage response, and emergency work organization.
- Prepare cost control reports, performance tracking reports, and financial summaries.
- Review, process, and accurately code invoices and project-related expenditures.
- Support office operations, facility coordination, and employee accommodation activities as required.
Qualifications
- Minimum 2 years of experience in administrative support, work management, dispatch, contract administration, procurement, billing, financial reporting, or a related field.
- Experience supporting field operations, construction, maintenance, or utility environments.
- Strong understanding of work order management and scheduling processes.
- Experience processing invoices, purchase orders, contract requisitions, and procurement documentation.
- Knowledge of financial tracking systems and project coding processes.
- Strong organizational skills with the ability to manage multiple priorities.
- Excellent communication and stakeholder coordination abilities.
- Experience preparing reports, tracking project performance, and maintaining operational records.
- Proficiency with Microsoft Office applications and standard business software.
- Strong attention to detail and accuracy.
Preferred Qualifications
- Experience working in utility operations or infrastructure environments.
- SAP experience, including procurement and financial processes.
- Knowledge of dispatch procedures and field crew coordination.
- Familiarity with materials management and inventory-related processes.
- Experience supporting contracts, vendor management, and procurement activities.
