MatchBox Consulting Group is seeking a Junior Executive Assistant on behalf of our client, a leading real estate developer known for delivering high-quality residential and commercial projects in key Canadian markets including Vancouver and Toronto.

As the Executive Assistant, you will provide high-level support to a senior executive, helping manage day-to-day operations, schedules, communications, and special projects. This is an excellent opportunity for someone who thrives in a dynamic, fast-paced environment and brings a high level of professionalism, discretion, and initiative.

Responsibilities

• Manage the executive’s calendar, including scheduling meetings, coordinating appointments, and arranging travel
• Provide proactive administrative support, helping to manage priorities and keep projects moving forward
• Track and reconcile expenses and assist with regular reporting
• Prepare correspondence, presentations, and meeting materials as needed
• Handle confidential and sensitive information with a high level of discretion
• Support ad hoc tasks and special projects as required

Requirements

• 2+ years of experience supporting an executive or in a similar administrative role
• Strong organizational and time-management skills, with the ability to prioritize effectively
• Excellent communication skills, both written and verbal
• High proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
• Strong attention to detail and problem-solving abilities
• Able to take initiative and work independently while also being a collaborative team player
• Comfortable in a fast-paced, evolving environment
• Professional demeanor and adaptable to shifting priorities
• Proven ability to handle confidential information with discretion
