Matchbox Consulting Group is seeking a Project Administrator on behalf of a leading engineering consulting firm specializing in electrical engineering services for land development projects. Their expertise includes master planning, private and utility underground/overhead distribution systems, and street lighting. They prioritize safety, reliability, and cost-effectiveness while ensuring compliance with local utility requirements.

This role, based in Victoria or Vancouver, will support project managers in delivering high-quality projects on time and within budget.

Responsibilities:

• Manage invoicing, material orders, PO coordination, and project documentation.
• Oversee scheduling, task assignments, and workload forecasting.
• Coordinate subcontractors, field reviews, and pre/post-construction meetings.
• Maintain compliance with health and safety standards, audits, and reporting.
• Build and manage client relationships through meetings, outreach, and industry events.
• Conduct market research, competitor analysis, and business development efforts.
• Track project performance, metrics, and process improvements.
• Handle database management, software integration, and corporate training programs.

Requirements:

• Experience in construction, land development, or architecture (preferred).
• Minimum 2 years in coordination, customer service, or a client-facing role.
• Strong interpersonal and communication skills to manage client and project needs.
• Ability to relay accurate and timely information to all stakeholders.
• Experience navigating complex conversations with professionalism and tact.
• Knowledge of project lifecycle phases, from initiation to completion.
• Experience in electrical trade or engineering (distribution/utilities) is an asset.
• Certification in project administration or project management is a plus.
