MatchBox Consulting Group is working with a well-established builder in Richmond with a strong reputation for delivering commercial, industrial, and institutional projects.

We are seeking a detail-oriented and proactive Pre-Construction Coordinator to support pre-construction activities and project setup. This role plays a key part in ensuring accurate documentation, coordinating with internal teams and external partners, and supporting the estimating process to help projects move seamlessly from planning into execution. Responsibilities

• Prepare and organize pre-construction documents, including RFPs, RFIs, addenda, and bid packages.
• Coordinate and track project drawings, specifications, and revisions.
• Support estimating by soliciting and compiling trade partner and supplier quotes.
• Maintain records of tender documents, correspondence, and proposal submissions.
• Facilitate communication between project managers, estimators, consultants, and trade partners.
• Schedule and document pre-construction meetings, distributing minutes and action items.
• Assist with budgeting updates and value-engineering exercises.
• Track tender deadlines and ensure timely proposal submissions.
• Provide general administrative support to the pre-construction and estimating teams.

Qualifications

• Post-secondary education in Construction Management, Architecture, Engineering, or related field (asset).
• 1–3 years of experience in construction, estimating, or project coordination preferred.
• Strong organizational skills with the ability to manage multiple priorities and deadlines.
• Proficiency with MS Office Suite; experience with construction software (e.g., Bluebeam, Procore, or equivalent) is an asset.
• Excellent written and verbal communication skills.
