MatchBox Consulting Group is proud to partner with an engineering consulting firm specializing in electrical engineering services for land development projects. With expertise in master planning, private and utility underground/overhead distribution systems, and street lighting, they deliver solutions that prioritize safety, reliability, and cost-effectiveness while ensuring compliance with local utility requirements.

We are seeking a Project Administrator to support project managers and ensure projects are completed on time, within budget, and to the highest quality standards. This role offers the flexibility to be based in Vancouver or Victoria and provides an opportunity to work on impactful projects in a dynamic and collaborative environment.

What You’ll Do:

• Manage invoicing, material orders, and purchase order coordination
• Oversee scheduling, task assignments, and workload forecasting
• Organize field reviews and pre/post-construction meetings
• Coordinate with subcontractors and handle non-technical requirements (e.g., SRWs, BC Hydro forms)
• Prepare, proofread, and manage project documents, including submissions, reviews, and proposals
• Conduct follow-ups, analyze proposal losses, and manage closeout packages
• Track internal project performance metrics and refine tools, processes, and workflows
• Assist with business development through market research, client relationship management, and industry networking
• Support corporate administration, including health and safety compliance, regulatory reporting, and database management

Who you are: 

• Experience in construction, land development, general contracting, or a related industry
• 2+ years in a coordination, customer service, or client-facing role
• Strong interpersonal and client relationship management skills
• Excellent communication abilities, including handling complex conversations with professionalism and tact
• Proven ability to relay timely and accurate information to stakeholders for seamless project execution
