MatchBox Consulting Group is seeking a Records Management Assistant to work on a 6-month contract for our client, one of BC's largest utility and clean energy companies.
This hybrid role is based in Burnaby, BC and will provide critical support to the Project Compliance Advisor team, ensuring business records and project compliance processes are executed accurately and efficiently.
Key Responsibilities:

Provide business records management system and process analysis to support compliance with corporate records management policies, standards, and legislation.

Manage and triage the MRS Project Compliance Inbox, including Outlook rule sets, email templates, prioritization, and timely response to submissions.

Monitor PPM Internal Review Workflows, updating tracking spreadsheets, verifying links, and communicating updates to project teams.

Support charge code management, including collection, verification, and tracking of codes for internal and external billing.

Assist with Project Compliance Advisor review, highlighting anomalies, following up with project teams, and ensuring accurate documentation in the Doc Set.

Participate in MRS Applicability Tool sustainment, including testing, documentation, and resolution of technical issues.

Provide meeting support for the Project Compliance Advisor team, including note-taking and scheduling assistance.
Qualifications & Experience:

Minimum 2 years of experience in a records management system solutions role with system and process analysis experience.

FileNet experience (1 year) is an asset.

Bachelor’s degree in Management Information Systems, Library Archives & Records Management, Business Administration, Commerce (Computer Science or Business major), or equivalent.

Strong working knowledge of records management, security and privacy policies, retention schedules, information lifecycle management, metadata, taxonomies, and naming conventions.

Experience with records management systems (e.g., FileNet), business process improvement principles, project management practices, and consulting on records management projects.
