Recruitment Coordinator

Location: Vancouver, BC (Hybrid – 2 Days in Office)
Duration: 6-Month Contract (Potential for Extension)

MatchBox Consulting Group is seeking a Recruitment Coordinator to support one of British Columbia's largest utility providers. This is an excellent opportunity for an organized and detail-oriented recruitment professional to support high-volume hiring activities while working closely with recruiters, hiring managers, and candidates throughout the recruitment lifecycle.

This role is ideal for someone who thrives in a fast-paced environment, enjoys coordinating multiple priorities, and has strong administrative and stakeholder management skills.

Responsibilities

  • Coordinate and schedule interviews for candidates across multiple hiring initiatives.

  • Maintain regular communication with recruiters, hiring managers, and candidates throughout the recruitment process.

  • Post, refresh, and remove job advertisements across various recruitment platforms.

  • Support applicant screening activities and provide updates to Recruitment Partners.

  • Coordinate background checks, reference checks, compliance activities, and onboarding processes.

  • Manage candidate testing, travel arrangements, and recruitment-related logistics.

  • Maintain accurate recruitment records, invoices, documentation, and tracking spreadsheets.

  • Respond to candidate inquiries and provide timely follow-up throughout the hiring process.

  • Assist with sourcing initiatives, talent pipeline development, and interview question preparation.

  • Support continuous improvement initiatives and recruitment process standardization.

Qualifications

  • Certificate in Human Resources or a related field.

  • Experience working with Applicant Tracking Systems (ATS).

  • Strong organizational, coordination, and administrative skills.

  • Excellent written and verbal communication skills.

  • Advanced proficiency with Microsoft Excel and spreadsheets.

  • Ability to prioritize multiple tasks while maintaining a high level of accuracy.

Must Haves

  • Experience coordinating interviews and high-volume recruitment processes.

  • Strong administrative, organizational, and prioritization skills with exceptional attention to detail.

  • Experience with invoicing and maintaining accurate records.

  • Experience managing background checks, compliance activities, or similar recruitment administration.

  • Advanced spreadsheet skills and experience working with high-volume data.

  • Ability to manage multiple priorities and work effectively with diverse stakeholders.

  • Strong communication and stakeholder management skills.

  • Ability to work independently in a fast-paced environment.

Nice to Have

  • CPHR designation.

  • Experience supporting recruitment within large or complex organizations.

Work Environment

  • Hybrid work arrangement with two days per week in the Vancouver office.

  • Collaborative team environment supporting high-volume recruitment initiatives.
