MatchBox Consulting Group is looking for an Executive Assistant in Calgary, AB. Our client, a Calgary-based home builder, specializes in multi-family residential projects, including condominiums and townhomes.

Responsibilities

• Calendar and Meeting Management:
  • Organize and prioritize schedules for the President and CEO, coordinating meetings and appointments efficiently.
  • Prepare meeting agendas, materials, and accurate minutes as needed.
• Communication Management:
  • Monitor and manage emails, highlighting important messages for executives.
  • Distribute data and information with confidentiality and accuracy.
• Event Coordination:
  • Plan and execute corporate strategy events and the annual Christmas party, handling logistics seamlessly.
• Presentation and Proposal Creation:
  • Develop presentations, proposals, and materials for executive meetings and events.
• Administrative Support:
  • Manage expense reports, handle sensitive information with discretion, and provide personal assistance to executives as needed.

Requirements

• Insight into the dynamics of working with business owners, distinct from interactions with professional executives.
• Capacity to anticipate certain executive requirements through a learned understanding of leadership perspectives and thought processes.
• Unwavering dedication to maintaining confidentiality.
• Proficiency in working independently, without the need for detailed guidance.
• Competence in optimizing calendar management for efficiency.
