Job Title: Project Coordinator

Location: New Westminster, BC


Position Overview:

We are seeking a proactive and organized Project Coordinator to join our dynamic team. As a Developer-Builder based in New Westminster, we specialize in residential and commercial development projects. The Project Coordinator will support the project management team by overseeing the day-to-day operations of construction projects, ensuring projects are completed on time, within budget, and to the highest quality standards. The ideal candidate will have a strong understanding of construction processes, excellent organizational skills, and the ability to communicate effectively with internal teams and external stakeholders.


Key Responsibilities:

  • Project Administration:

    • Assist in the preparation of project documentation, including contracts, change orders, submittals, and RFIs (Requests for Information).
    • Maintain accurate project records, including schedules, budgets, and reports, and ensure timely and proper filing of project documentation.
    • Coordinate project meetings and assist with preparing meeting agendas, minutes, and follow-ups.
  • Project Scheduling and Coordination:

    • Support the development of project schedules and work with project managers to track progress and ensure milestones are met.
    • Coordinate and schedule site visits, inspections, and meetings between clients, subcontractors, suppliers, and other stakeholders.
    • Assist in tracking project timelines, ensuring deadlines are met and flagging potential delays early.
  • Communication and Liaison:

    • Serve as the primary point of contact for clients, contractors, subcontractors, vendors, and internal teams for day-to-day project needs.
    • Communicate project progress and issues to the project manager and senior leadership.
    • Assist in resolving any on-site or office-related issues that may arise during construction.
  • Procurement and Material Management:

    • Support procurement activities by helping to source materials, equipment, and services for the project.
    • Track orders and deliveries to ensure that materials and supplies arrive on time and meet project requirements.
    • Assist in the coordination of subcontractor services and manage contracts to ensure proper execution.
  • Quality Control and Documentation:

    • Ensure that work is completed in compliance with design specifications, contract terms, and industry regulations.
    • Assist in performing quality control checks to ensure construction standards and safety procedures are followed.
    • Help maintain a system for tracking project documents, such as drawings, permits, inspection reports, and other regulatory documents.
  • Budget Tracking and Financial Reporting:

    • Assist in tracking project budgets, expenditures, and invoices.
    • Help prepare financial reports for the project, tracking costs against budgets and assisting in managing change orders and cost estimates.
    • Work with the project manager to ensure that financial records are up to date and that the project is staying within budget.
  • Safety and Compliance:

    • Help ensure that all projects comply with safety regulations and building codes.
    • Assist in the implementation and monitoring of safety protocols on-site to ensure the health and safety of the workers and the project environment.

Qualifications:

  • Education:

    • A degree or diploma in Construction Management, Project Management, Civil Engineering, or a related field.
    • Certification or training in Project Management (e.g., PMP, CAPM) or Construction Safety (e.g., OSH) is a plus.
  • Experience:

    • 2-5 years of experience in a project coordination or similar role within the construction industry, preferably with a developer-builder.
    • Experience with residential and commercial projects is preferred.
    • Familiarity with construction processes, building codes, and local regulations.
  • Skills:

    • Strong knowledge of construction management software and tools (e.g., Procore, Buildertrend, Microsoft Project, or similar).
    • Excellent organizational and multitasking skills.
    • Strong communication skills, both written and verbal, with the ability to liaise with various stakeholders effectively.
    • Ability to work independently and as part of a team to achieve project goals.
    • Attention to detail and ability to manage multiple projects simultaneously.
