A highly regarded consulting engineering firm is urgently seeking a Proposal Coordinator to join their Calgary office due to a recent vacancy. This is a fast-paced and collaborative environment that requires someone highly organized, deadline-driven, and confident in coordinating complex proposals.

About the Role:
Reporting to the Proposal Lead and working as part of a dynamic marketing and proposal team—including graphic designers, copywriters, and other coordinators—you will be responsible for managing the end-to-end proposal process. You will lead RFP/RFQ reviews, facilitate proposal planning meetings, ensure all components are gathered accurately, and oversee timely submission.

Key Responsibilities:

• Review RFPs/RFQs and prepare high-level summaries for internal teams.

• Establish timelines, priorities, and milestones to ensure all submissions meet deadlines.

• Coordinate and facilitate meetings with technical teams and contributors.

• Assemble content and manage inputs from engineers, marketing, and design contributors.

• Ensure final proposal documents are accurate, well-formatted, and aligned with branding standards.

• Manage and maintain standardized proposal components such as CVs and project sheets.

• Participate in post-submission reviews to assess performance and outcomes.

Must-Have Qualifications:

• 3+ years of experience in proposal coordination involving multiple stakeholders.

• Background in consulting engineering, municipal infrastructure, construction, or transportation.

• Proven knowledge of RFP processes, particularly with government or municipal clients (e.g., Alberta Transportation, large infrastructure projects).

• Post-secondary education in a relevant field or equivalent experience.

• Strong relationship-building and communication skills.

• Thrives in deadline-heavy, fast-paced environments.

Nice to Have:

• Familiarity with Adobe Creative Suite.

• AEC industry exposure.

• Experience working on proposals across multiple regions or disciplines.

Working Conditions:

• Hybrid work model – 2 days from home.

• Calgary-based office.
