Matchbox Consulting Group is partnering with a mission-driven, social purpose real estate developer based in Vancouver looking for a Senior Property Administrator to join their growing team.

Our client is one of BC’s most active non-profit housing developers, with a portfolio of over 34 properties, 22 co-ops under management, and more than 2,600 occupied homes across the Lower Mainland and beyond. With another 1,200 homes currently in development or under construction, this is an organization that is genuinely growing and creating real career opportunities as it does.

This role is a strong fit for someone who has a few years of property administration under their belt, has a genuine interest in co-operative housing and community-based work, and is ready to step into a more senior seat with a defined path toward Building Manager or Property Manager. WHAT YOU WILL BE DOING

  • Own compliance tracking, reporting requirements, and key administrative deadlines across the portfolio.
  • Maintain organized digital and physical records including lease documentation, renewals, income verification cycles, and regulatory timelines.
  • Serve as a central point of contact for resident inquiries, triaging issues and ensuring timely follow-up.
  • Draft and distribute resident notices and communications in line with organizational standards.
  • Support housing charge tracking, invoice coding, and leasing documentation preparation.
  • Coordinate contractor access, vacancy postings, and application intake processes across multiple sites.
  • Act as the first point of contact for governance coordination across assigned housing co-operatives.
  • Prepare board packages, AGM materials, meeting documentation, and track follow-up actions from board meetings.
  • Support Building Managers with operational coverage and continuity across the portfolio.

WHO YOU ARE

  • 3 to 5 years of progressive administrative experience in property management, housing, or a community-based environment.
  • Genuinely interested in co-operative housing, community development, or the non-profit sector.
  • Comfortable working across multiple sites and engaging with residents, boards, contractors, and government funders.
  • Strong written and verbal communication skills with a high level of professionalism and discretion.
  • Organized, detail-oriented, and able to manage competing priorities across a diverse portfolio.
  • Proficient in Microsoft Office and Mircosoft Excel; experience with Yardi or a similar property management platform is a plus.
  • Knowledge of co-operative housing governance principles is a real asset.
  • Flexible for occasional evening meetings related to board or governance requirements.
