Summary

MatchBox Consulting Group is seeking a Vehicle Fleet Coordinator to support the day-to-day coordination of a large fleet of vehicles and mobile equipment for a leading energy organization. This is a 6-month contract with strong potential for extension and future permanent opportunities based on performance.

Working in a fast-paced environment, you’ll be responsible for managing fleet operations, coordinating vehicle assignments, maintenance, registrations, and supporting field operations while ensuring timely service for internal stakeholders across multiple locations. You’ll serve as the primary point of contact for fleet-related requests, collaborating with field personnel, operations leaders, and third-party fleet management providers to keep operations running efficiently.

Responsibilities

  • Coordinate daily fleet operations for a large portfolio of vehicles and mobile equipment.
  • Manage vehicle assignments, registrations, maintenance scheduling, fueling support, and driver requests.
  • Serve as the primary liaison with the third-party fleet management provider.
  • Maintain accurate fleet records, vehicle assignments, and cost tracking information.
  • Coordinate with local tax offices, DMV agencies, and external vendors regarding fleet compliance.
  • Respond to a high volume of requests from field staff, managers, and leadership while prioritizing competing demands.
  • Support fleet reporting, data analysis, and cost optimization initiatives.
  • Communicate effectively with both field personnel and senior leadership through phone, email, and Microsoft Teams.
  • Assist with continuous improvement initiatives related to fleet operations and processes.

Qualifications – Must-Haves

  • 4–10 years of experience in fleet operations, operational coordination, transportation, dispatch, logistics, vehicle rental, or a similar operational support role.
  • Demonstrated ability to manage a high volume of competing priorities in a fast-paced environment.
  • Strong customer service and communication skills, with the ability to work effectively with both field personnel and leadership.
  • Proven ability to organize, prioritize, and independently manage operational tasks.
  • Experience working with Microsoft 365 applications, including Outlook, Teams, Excel, and Word.
  • Valid authorization to work in the United States without employer sponsorship.
  • Ability to work a hybrid schedule.

Nice-to-Haves

  • Experience within the oil & gas, utilities, transportation, or fleet management industries.
  • Experience working with a third-party fleet management provider.
  • Familiarity with Element Fleet Management or similar fleet management platforms.
  • Knowledge of DOT/FMCSA regulations and vehicle registration processes.
  • Strong analytical skills with experience reviewing operational data and identifying process improvements.
