MatchBox Consulting Group is recruiting for a Contract Administrator to support contract administration and field services operations in a hybrid environment based in Surrey, BC. This is a 6-month contract opportunity.
This role focuses on supporting contract administration, invoice processing, reporting, and stakeholder coordination activities to ensure contracts and service agreements are managed effectively and efficiently. The successful candidate will work closely with internal teams, vendors, and service providers to support operational and financial processes.
This position is well suited to an organized administrative professional with experience supporting contracts, billing, and reporting in a fast-paced environment.
Responsibilities
- Support administration of service contracts, work packages, and service agreements
- Review, verify, and process a high volume of contract and invoice documentation
- Code, prepare, and track invoices for approval and payment processing
- Assist with contract billing, financial tracking, and reporting activities
- Support contract performance monitoring and service level agreement administration
- Maintain accurate records, reporting templates, and contract documentation
- Compile and present operational and financial information using MS Office and reporting tools
- Support internal and external stakeholder communication related to contracts and service delivery
- Assist with benchmarking, reporting, and process improvement initiatives
- Coordinate schedules, workflow, and administrative activities for management and teams
- Respond to inquiries related to service contracts and operational support activities
- Maintain effective working relationships with clients, vendors, and internal stakeholders
Requirements
- Minimum 2+ years of administrative experience related to contract administration, facilities, or service management
- High School Diploma plus a Certificate in Business Administration or equivalent combination of education and experience
- Experience with contract billing, financial tracking, and reporting
- Strong proficiency in MS Office (Word, Excel, PowerPoint)
- Experience using systems such as SAP, contract management databases, or related administrative platforms
- Strong organizational and multitasking abilities
- Excellent communication, interpersonal, and teamwork skills
- Ability to work effectively in a fast-paced, multi-task environment
- Strong attention to detail and ability to verify and reconcile information accurately
- Intermediate English communication skills (written and verbal)
Assets
- Experience supporting field services, facilities, or operational contracts
- Knowledge of contract management and procurement practices
- Experience with performance reporting and service level agreement administration
- Familiarity with financial and contract management systems
